What to include in a holiday enquiry

You don’t need a perfect itinerary to ask for help. A few useful details give your travel specialist a much clearer picture of the holiday you want.

What should I include in a holiday enquiry?

Share your preferred dates and number of nights, departure airport, travellers and children’s ages, and the destination or type of trip you have in mind. Explain your budget, what it needs to cover and any must-haves. If you are still choosing, a shortlist and a few priorities are enough to start a useful conversation.

Start with who, when and where

Tell us how many adults and children are travelling, including children’s ages at the time of the trip. Share your preferred dates, how many nights you have in mind and whether you can move the dates.

Include your departure airport and any alternatives you would consider. If you are joining friends travelling from elsewhere, mention that too. For the destination, a country, a shortlist or simply the type of trip you want is enough to start a conversation.

Give a budget with a clear scope

A total holiday budget is more useful when it is clear what it should cover. Say whether it is for the whole group or per person, and whether flights, transfers, baggage, meals and activities need to fit within it.

If you have a comfortable target and an absolute maximum, explain both. It helps your specialist discuss trade-offs rather than suggest an option that only works once important extras are left out.

Describe your priorities

Think about the details that would make the trip feel right. Do you want a quiet beach, a central location, a particular room arrangement or a mix of exploring and downtime? Separate your must-haves from preferences.

  • The pace: relaxed, active or a bit of both.
  • The stay: hotel, villa, apartment or another option.
  • The food: your preferred meal plan and relevant dietary requests.
  • The occasion: a family break, honeymoon, celebration or time away together.

Describe practical access requirements that the accommodation or transport needs to meet. You do not need to include medical records or passport details in an initial enquiry; discuss an appropriate way to share any information that is needed later.

A short brief you can use

“We’re two adults and two children aged 8 and 11 at travel. We’d like seven nights in the second half of August, departing from Manchester or Liverpool. Our total budget is £4,500 including flights, checked bags and transfers. We’d love a pool and easy beach access, with some places to eat nearby. We’re open to destination suggestions.”

This is an illustrative enquiry, not a quoted holiday or a statement of availability. Your own dates, priorities and budget are the details that matter.
