A travel agent booking workflow from enquiry to return
A repeatable workflow helps you give customers a clear next step and keep important details together. The exact procedure comes from your agency and suppliers. Use this framework to understand that procedure, identify who owns each task and ask useful questions during training.
What are the main stages of a travel booking?
A useful workflow covers the customer brief, research, checked quote, customer decision, approved payment and confirmation process, pre-travel documents and ongoing care. At each stage, record the next action and responsible party. Follow your agency’s procedure rather than treating a general checklist as booking authorisation.
Turn the brief into a checked quote
Confirm the information needed to research: dates, travellers, departure options, budget and priorities. Note where the customer is flexible and where a requirement needs specialist support. Keep the brief in the approved system so it can be used consistently.
Compare the complete options, including journeys, transfers, room arrangements and included items. Follow the required review process before issuing a live quote. Record the details that remain subject to confirmation rather than filling a gap with an assumption.
Record the decision and use the approved payment route
When the customer chooses an option, confirm the specific selection and the information needed for the booking. Follow the agency procedure for presenting conditions, checking details and taking payment. Avoid copying payment details into personal messages or general notes.
Check the confirmation against what was agreed. Make sure the customer receives the applicable documents through the proper process. If something does not match, use the operational support route promptly and record the resolution.
Keep an active-booking view
Keep upcoming tasks visible, including payment deadlines, document checks and customers travelling soon. Use the approved system’s reminders where available. A new enquiry should not push an existing customer’s deadline out of view.
Ask how an amendment changes the task list. A date change may affect more than one booking element or document. Follow the responsible team’s process and check the updated record rather than assuming the first change completed everything.
| Stage | Check | Owner to confirm |
|---|---|---|
| Before payment | Customer selection and applicable terms | Agent or agency process |
| After confirmation | Trip details and documents match | Relevant booking team |
| Before travel | Outstanding deadlines and information | Assigned customer support |
| Change or issue | Next action, escalation and update time | Responsible supplier or agency team |
Close the loop and improve the process
After the trip, ask for feedback through the appropriate process. Record any unresolved support matter and pass it to the correct team. Do not mark a task complete just because the customer has returned if a case is still open.
For your own learning, identify one thing that worked and one task that was unclear. Discuss anonymised examples where appropriate and keep personal information in its approved location. Small improvements to the workflow can be more useful than adding another tool.
Your next-step checklist
- Understand the approved procedure before handling a live booking.
- Keep the brief, decision and next action in the right system.
- Confirm who checks quotes, payments and documentation.
- Review active customers and deadlines as well as new enquiries.
- Record changes, escalate uncertainty and close unresolved tasks.
Common questions
Can I use my own spreadsheet for all bookings?
Use the systems and data-handling process required by your agency. A personal spreadsheet may omit needed controls or duplicate customer information. Ask which planning records are permitted.
Who is responsible for changes and complaints?
Responsibilities depend on the product and arrangement. Identify them during onboarding and keep the escalation route accessible. Do not assume your mentor is the operational team for every issue.
